Step-by-step guide to ordering copies of records through the

Order Processing Center

The 'shopping basket' order processing system for obtaining copies of records from indices in the JRI-Poland database of Jewish vital records of Poland.

Search JRI-Poland Database for records of interest.

Accessing the Order Processing System

When searching the JRI-Poland database, please DO NOT select "Output the results in ... Plain Text". The Shopping Basket Order System will only work if "A Table" is selected (this is the default setting).

Records available from the participating Archive branches will include the following note in the heading of the record table. "Click here to view/modify your order or start a new one."

Tables with applicable records will contain an extra column "Click to order" at the far left with "Order?" next to the index entry. This indicates that the records in the table are part of the Polish State Archives (PSA) project and may be ordered via the JRI-Poland Order Processing Center.

To start the ordering process, click on "Click here to view/modify your order or start a new one."

Login to the PSA Order Processing System

If this is your first time using the system, enter an email address and password of your choosing. If you would like to access orders previously created, enter the email address and password previously created. The email address and password will enable you to save the record(s) you have selected for later ordering, editing or deletion. You can prepare multiple orders and later select the specific order or orders to send for. Don't forget to make a note of your password.

To help you identify different groups of records that you have selected, we suggest you use the town name and Surname to identify the order. Example: Bialystok -- KAGAN. Please note that the date/time of creation will identify each 'shopping basket' order.

Click "Login"

Create Order (or Create a New Order)

To create a new order, enter a description such as Bialystok - KAGAN (or, in this example, Michael 18 November 2002). The system will automatically put the specific date/time on the order and that date/time will appear in the VIEW order window.

Click on "Create Order."

To work with this new order or a previously created order, click "SELECT [Order Name]."

Build Your Order

For PSA data that can be ordered through this system, the left hand column of the tables of search results will include the text: "Click to order"

To select a record, click on the button "Order?" As you click on a record that you have just selected (or which you may have previously noted), the system will indicate that the record has been added to your order and will prompt you as follows:

  • Click here to add more records to your order
  • Click her to VIEW your order
  • Click here to LIST ALL your orders or start a new one
  • Click her to COMPLETE your order (ready for mailing)

Selecting "Click here to add more records to your order" takes you back to the Search Results page, where you started the order process, to select another record to add to your order

Selecting "Click here to VIEW your order" takes you to view your order as it currently stands. See VIEW Your Order below.

Selecting "Click here to LIST ALL your orders or start a new one" brings you back to Create a New Order screen previously shown.

Selecting "Click here to COMPLETE your order (ready for mailing)" takes you to the final steps in the order process. See COMPLETE Your Order below.

Fill in the online form with the information requested.

Create Order Form for Mailing

After you have completed the online form, click on "Create Order Form."

Print your order using the Print command in your browser or right click on the Order Form and select "Print." A separate order form will be created for each branch of the Polish State Archives that holds records included in your order.

If you wish to use VISA or MasterCard credit card for payment, click on the link http://www.jewishgen.org/jri-pl/psa/psacredit.htm at the bottom of the Order Form, print out the Credit Card Order Form and include with your Order.

The price of each of your orders (records for each Archive branch is a separate order) is shown at the bottom of the Order Form. The cost of one record from an Archive is $15. For two or more records from an Archive, the cost is $10 per record.

Send the original of ALL orders for all branches to the JRI-Poland Order Processing Center at the address noted.

When you create an order using this system, the system automatically creates an electronic version of your order. After your order is sent to the JRI-Poland Order Processing Center, it is matched with the electronic version. If the Order Processing Center cannot match your order EXACTLY to its electronic counterpart, your order will be returned to you. PLEASE DO NOT MAKE ANY CHANGES TO YOUR ORDER ONCE IT IS COMPLETED AND PRINTED. If you are not satisfied with your completed and printed order, you must return to the system and amend or modify that order or create a new order.

Payment: You can make your payment by personal check in US$ made payable to "JRI-Poland PSA Order Processing Center," money order in US$ or Credit Card (Visa or MasterCard). Credit Cards will only be accepted by mail. Only one payment is required - even if you are sending orders for two or more archive branches.

Upon receipt of your order(s) and payment, the JRI-Poland PSA Order Processing Center will email your order(s) to the appropriate branch/branches of the PSA. Your order(s) should be sent to you within 45 days via registered or priority airmail.

Surviving records less than 100 years old are held in the Civil Records Offices (Urzad Stanu Cywilnego) of each town.
For information on the 20th century records available for your town, visit the Routes to Roots Foundation website, click on "ARCHIVE DATABASE" and then "Search DataBase" and enter the town name. Look for the town name in the Repository/City column of the search results. There are typically links to lists of available births, marriage and death records for the town.
Note, however, the Routes to Roots Foundation database may indicate turn of the century records that have already been transferred to the appropriate branch of the Polish State Archives where they can be indexed for the JRI-Poland database.
